SMG Total Services System Checklist

As part of the SMG Total Services commitment, each full service convention center should have the following available at the facility:

1.  Concierge or Information Desk: with knowledgeable staff and information on local hotels, attractions, restaurants, etc.

2.  Transportation Coordinator: whether part of the Concierge Desk or not, providing information and coordination of taxi, bus and other likely transportation in each market.

3.  In-Place Technology: including a backbone of fiber and high-speed connections for voice, video and data throughout the venue.  Internet and Networking capabilities should be available throughout, as well as a Video-conferencing Suite, or portable system.

4.  Business Center: providing basic services such as copying, facsimile, internet station, small package shipping and sale of office supplies.

5.  Advertising & Public Relations Support: including camera ready artwork (logos, maps, etc.), photographs and video for client use in promoting their events.  Advertising, marquis and/or kiosk signage to promote events and sponsors.  Standardized press release format, and local distribution support, as well as coordination with key local officials for welcome remarks and ribbon-cutting ceremonies.

6.  Emergency Preparedness Manual: provided to show management with a discussion of responsibilities and actions in case of the unexpected.

7.  VIP or Executive Boardroom: an upgraded room for board and client meetings, usually with finer furnishings and extra amenities.
A likely place for videoconference support.

8.  Labor Relations Coordinator: staying on top of exhibitor rights and work rules and act as a liaison to avoid unnecessary delays.

9.  Exhibitor Food Services: most notably, orders taken from and delivered to exhibitors at their booths, as it is often difficult for personnel to leave an exhibit to eat.

10.   Web Site Services: offering more and more information on booking dates and exhibitor services through on-line ordering.
